Natural Biocept Pte Ltd (UEN 201821812R), 31 Woodlands Close, #04-02, Woodlands Horizon, Singapore 737855, ("we", "us") supplies hair care and beauty products to salons and other businesses in Singapore. This policy explains how we collect, use, store and protect personal data under Singapore's Personal Data Protection Act 2012 (PDPA).
1. Who this covers
This policy covers salon owners, managers and staff who contact us, use our salon portal or receive our messages; visitors to this website; and our suppliers and partners.
2. What we collect
We collect:
- name, role and salon name;
- mobile number and WhatsApp number;
- email address;
- salon address and delivery address;
- orders, invoices, payments and credit records;
- delivery photos and payment slips or screenshots you upload;
- messages you send us on WhatsApp, by email or through the portal;
- sign-in records such as when a login code was requested; and
- basic technical data such as device type and pages visited.
3. Why we use it
We use personal data:
- to set up and run your salon account;
- to take, deliver and invoice orders;
- to confirm and record payments;
- to send login codes, order updates, invoices, payment reminders and account notices;
- to answer enquiries and arrange demos;
- to keep our accounting and legal records;
- to keep our systems secure and prevent misuse; and
- where you agree, to send promotions and news.
4. Messages
We send messages by WhatsApp and email. Service messages (login codes, orders, invoices, reminders) are needed to run your account. Promotional messages are sent only with your consent. You can say STOP or ask us at any time to stop promotional messages, and we will record and respect this. WhatsApp is provided by Meta Platforms and its terms and privacy policy also apply to messages sent through WhatsApp.
5. Who we share it with
We share personal data only with people who need it to serve you, such as our delivery team, and service providers that host and store our data, send messages and email, and help us run our systems. They may only use the data for our purposes. We do not sell personal data. We may disclose data where the law requires it.
6. Overseas storage
Our service providers may store or process data outside Singapore. We take reasonable steps to make sure it is protected to a standard comparable to the PDPA.
7. How long we keep it
We keep invoices and accounting records for at least five years as required by Singapore law; account and order data while you are a customer and for a reasonable period afterwards; and message and sign-in records for as long as needed to run and secure the service. We then delete or anonymise it.
8. Security
Access is limited by role, sign-in uses one-time codes, data is encrypted in transit, and uploaded slips and photos are kept in private storage.
9. Your rights
You may ask to access or correct your personal data, withdraw your consent, or ask how we use it. Email info@naturalbiocept.com. We aim to reply within 30 days.
